Tariffs, contracts, surcharges

Your rate library, organised the way you operate.

Rate Management is freight rate management software that acts as the system of record for every contract, surcharge, and customer-specific markup your team applies — feeding Miles and Instant Quote so quotes are always built from the current valid rules.

The reality

The problem we solve

Most forwarder rate libraries are a folder of Excel files plus tribal knowledge about which customer gets what markup. That works until the spreadsheet author leaves, the carrier issues a GRI, or a new rep takes over the account — and then the customer notices a different number than they expected. Rate Management replaces the folder with a structured, queryable library every other Freightools.ai surface can act on.

Outcomes

What you get

Structured contracts

Validity, lane, mode, surcharges, free time, transit time — every field queryable, every value linked to the source document.

Customer markups encoded as rules

Tier, customer, lane, and time-bound markups stored as rules the engine applies — not as memory the rep is supposed to recall.

Floor margins enforced

Below-floor quotes require a manager override that is logged with a reason. Sales cannot accidentally erode margin into the night.

Versioning and audit

Every change to a tariff or markup is logged and reversible. Six months later you can re-open any quote and reconstruct the price.

Mechanics

How it works

  1. 1

    1. Load

Existing tariffs come in via Tari. Existing customer rules can be imported or encoded directly. Operations reviews and approves.

  2. 2

    2. Encode the rules

Tier markups, customer overrides, lane-specific exceptions, time-bound promotions — written down once, applied automatically thereafter.

  3. 3

    3. Govern

Every rule has an owner, a created-by, and an expiry. Time-bound rules retire themselves on their end date.

  4. 4

    4. Feed the rest of the stack

Miles uses the rules to build quotes; Instant Quote applies them on the customer-facing surface; Command Center reports on which rules fire how often.

FAQ

Frequently asked

How is Rate Management different from Tari?
Tari is the ingestion engine — it turns documents into structured records. Rate Management is the system of record around those records: customer rules, floor margins, versioning, and governance.
Can we run this alongside our existing TMS?
Yes. Rate Management is the source of truth for pricing logic. Quotes can be exported to or pushed into your existing TMS for booking; the TMS does not need to change.
What happens when two rules conflict?
The system shows the conflict explicitly with both rules visible, and lets a manager resolve it. It does not silently pick one and hide the other.
